Information we receive
When you contact us, we receive the details you choose to provide, such as your name, company, email, telephone number, job description and artwork. Orders may also require billing and delivery details. Artwork can contain personal information, so only send information needed for the job and ensure you are authorised to share it.
The quote form prepares a WhatsApp message on your device. It does not send an enquiry to us until you send that message in WhatsApp. Email links open your email application. Dropbox file requests collect the files and identifying details you provide through Dropbox.
Our hosting and security services process technical information needed to deliver and protect the site, such as IP addresses, request information and device/browser details. Staff access and shared customer/job records are handled in the protected office system.
Why we use information
- Enquiries, quotations and orders: to respond and take steps towards, or carry out, a contract. If you contact us on behalf of a business, our legitimate interest is communicating with its representatives and delivering the requested work.
- Job administration and support: our legitimate interests in organising work, maintaining customer relationships and resolving problems.
- Accounts and required records: to meet applicable legal obligations.
- Website security: our legitimate interest in preventing misuse and keeping services reliable.
- Optional browser preferences: your consent, which you can withdraw in Cookie settings.
Please provide the details we need to identify your job and fulfil it. Without necessary contact, artwork or delivery details, we may be unable to quote or complete the work.
Services used to handle your information
Our current services include ChatGPT Sites hosting, Dropbox for artwork uploads, WhatsApp when you choose to message us, and 123 Reg for our studio email. Providers handle information under their applicable service arrangements and privacy notices. Details may also need to be shared with a delivery provider or professional adviser where necessary for your job or legal obligations.
Some providers operate internationally and may process information outside the UK. See their privacy notices for locations and transfer arrangements, or contact us for information about the services used for your particular job.
How long information is kept
We keep information for as long as needed for the enquiry or job, relevant repeat work, accounting/legal requirements and resolving disputes. We consider the type of record, the purpose it serves and any applicable statutory requirements when deciding whether it is still needed. Artwork and business records may have different retention needs. Contact us to ask about a particular file or record, or request deletion where applicable.
Your rights
Depending on the circumstances, you can request access to your personal information, correction, deletion, restriction, portability, or object to processing based on legitimate interests. These rights are subject to applicable conditions and legal exceptions. Where we rely on consent, you can withdraw it without affecting earlier lawful processing.
Contact our studio to make a request. We may need to confirm your identity. You can also complain to the Information Commissioner’s Office (ICO).
